Commercial Leasin​g - Tenant Selection

There are several reasons why tenant selection is perhaps the most important decision for a successful and long lasting leasing arrangement. As is often the case, however, the desire to secure the first available applicant prevails over reasoning and common sense, regardless of the landlord’s objectives, the applicant’s business compatibility with the property or general satisfaction with the application.

At all times, the leasing agent should be aware of and try to achieve the landlord’s objectives. These objectives are not the same for every landlord! They vary greatly and could be changed in a moment. Some landlords prefer long term stability over maximum achievable profit; some want to have their property fully occupied at certain times; for others, clean use is imperative. Failing to recognize and respond to those needs and expectations will create unease and a lack of trust in the agent’s judgment.

Do the tenant requirements match the features of the premises? It is not unusual that the answer to this question is an enigma, even though the leasing documentation has been executed. In many instances, both the landlord and the tenant rely on the leasing agent/property expert to identify and address the challenges that confront a new tenancy. Unfortunately these situations don’t always have happy endings. There are many disastrous examples where the tenant failed to observe building features or particular building system characteristics. This failure can result in unexpected and significant expenses required to remedy the problem.  To name a few; inadequate power supply, lack of parking space, insufficient air conditioning and even not taking into consideration the width of the gate or clearance of the roller door.

While helping with the application, the agent should find out more about the prospective tenant. Would they be responsible and respectful? Are they taking the obligation and commitment that arises with the lease seriously? How stable is their operation and do they have a solid cash flow stream? What are their plans and targets and how they are trying to accomplish them?

The decision about the applicant should not be based exclusively on credit history searches and referee checks. These days it is not difficult to create a new corporate entity, hide the previous history and therefore make any business search non-productive.

Good leasing agents differ from the rest because they are proactive and successful in enabling all parties to prosper while making sure that the property will be in good hands for the duration of the tenancy agreement.
